BEDFORD BAMBERG ASSOCIATION GDPR STATEMENT

 

This privacy policy sets out how the Bedford Bamberg Association (hereinafter referred to as “BBA”) will deal with your personal information; that is, information that could identify, or is related to the identity of, an individual.

 

To enable us to validate and maintain your membership, we will need to process some of your personal data. This data will be processed using both consent and contractual obligation as the legal basis for processing under the General Data Protection Regulation (EU) 2016/679 (hereinafter referred to as "GDPR"), Article 6. Bedford Bamberg Association will treat that personal data fairly, responsibly and in a transparent manner.  

 

What Personal Information Do We Ask For?

When you express an interest in becoming a member of the BBA you may be asked to provide certain information, for example:

How Do We Collect Personal Information?

All the information collected is obtained directly from you. This is usually at the point of you showing interest in the BBA and wishing to be kept informed. The information is generally collected either via e-mail or verbally and then your e-mail address is added to the mailing list. In providing the BBA with your e-mail address, you are giving your consent for that information to be stored in a password protected database which is required in order to ensure our compliance with data protection legislation.

 

How Do We Use Your Personal Information?

We only use your personal information to provide you with information about BBA activities and, occasionally, about other events that the committee considers may be of interest to members. Our normal means of communication is by e-mail. If you do not possess an e-mail address we may deliver a printed copy to your door. Your information is not processed in any other way.

 

Do We Share Your Personal Information?

Not normally. Occasionally we may do so, e.g. if you attend an event at a restaurant, we may need to provide your name and food choices to the restaurant. If you plan to join the visit to Bamberg or host when they visit here, we will need to provide your contact details to the group leader there. We would not share any other information.

 

Any reference to individual members in, for example, newsletters or AGM Minutes will be redacted or first names only will be used before appearing on our website, unless express permission for such references to be included on the website has been obtained. Participation in group photos will be taken as implied consent that these can be placed on our website or in the local press for publicity purposes.

 

How Do We Store Your Personal Information?

Our website does not collect any information and does not use cookies. Your membership information is held in a password-protected database on a computer which can only be accessed by the Chairman, Treasurer, Secretary and  Social Secretary.

 

How Long Do We Keep Your Personal Information?

We will keep your information until you ask for it to be removed, or for no longer than is necessary for the purposes for which the personal data are processed. Personal data may be stored for longer periods insofar as described by GDPR if it is necessary in order to comply with a legal obligation.

 

How Your Information Can Be Updated Or Corrected

You may update your information at any time. Should you wish to view and/or correct the information that the BBA holds about you, you can make this request by contacting the Membership Secretary (see Contact below).

 

Changes To This Policy

This policy may change from time to time. If we make any material changes we will make members aware of this via email.
